Stage Management and Flow
Problem Statement:
- How do we prevent backups and delays in the woods? What’s the best way to alleviate a backup once it occurs?
- What equipment or communication can best protect both the audience experience and our budget?
Tent Crew and Tent Entertainment
Problem Statement:
- Patrons often have a long wait in the tent. How can we keep them entertained?
- One idea has been showing film, either by projection or by cheap TV’s. How can we accomplish this? Where will the equipment come from?
Concessions, Will-Call, and Food Relief
Problem Statement:
- We need a menu for concessions in 2008 that is tasty, mission-appropriate and cost-effective.
- There are MANY shopping trips that need to happen to purchase all of the food needed for concessions and to collect all of the donated food. Emergency shopping/donation trips also occur during the show. We need to plan how many volunteers we need and start getting those slots filled.
- In the weeks prior to the show, the concessions tent and supplies need to be set up and organized. What needs to be done and who can come out when to do it?
- We’re also always looking for donations, discounts and gift certificates. Brainstorm a list of possible sources and see if anyone has a personal connection to a source.
Makeup
Problem Statement:
- Can we staff face-painting in the tent at least some of the time this year? What designs can be done in 30 seconds? What should we charge?
- Should we set up a makeup workshop to learn makeup techniques?
- Do we need to purchase makeup? How much?
- What is the makeup going to look like this year? How can we make sure it works with the lighting, costumes, set, etc.?
Guides and Guide Management
Problem Statement:
- We are often critically short of guides. This role is crucial to the smooth operation of the show and yet has our highest rate of absenteeism. How can we improve our volunteer retention, recruitment, and our need for so many guides?
- How will we run guide management? Who will be the guide manager each night of the show?
- What will we do in emergencies? How will we avoid emergencies when we know we are short-handed?
- How can we better instruct guides about common problems like joining groups, following scene cues, acting rudely, etc.?
Costumes
Problem Statement:
- Who will make the “special costume projects” for 2008 and what should they look like?
- How will we accomplish inventory and organizing of the costumes bins?
- Who will be responsible for laying out and labeling costumes for the show? Can this be done as a party early in October?
- Are there scene-stopping costumes that people would like to make for scareforce this year and to write a scene around for next year?
Scareforce
Problem Statement
- We often have trouble with young, over-enthusiastic volunteers to scareforce who are inappropriate. How can we manage/instruct/supervise/direct these volunteers better both before and during the show?
- What are some highly effective ideas for scareforce? Where is it best to place scares in the woods?
- What’s the best way to make someone jump and still be family friendly?
Video Production
Problem Statement:
- How do we produce the most instructive and engaging videos for actors and guides?
- When can we do this and who do we need?
Web Marketing
Problem Statement:
- How can we get the Haunted Forest event and ticket sales more visibility on the web?
- How do we make ticket sales easier to administrate and more enticing to customers?
Matinee
Problem Statement:
- How do we create the best matinee for small children and make sure they are engaged and in awe all the time?
- Who do we need to make this happen? Where do we find them? How can we use the evening show’s set-up and materials?
Set Design and Construction, Lighting
Problem Statement:
- How can we get all of the sets built in the time we have with the volunteers we have?
- How can we best use the materials we already own to enhance the audience experience?
